Are you an experienced property management professional looking to take your career to the next level? We have an exciting opportunity for a Property Management Administrator to join our client's dynamic team and support our Commercial Asset Manager.

Key Responsibilities:

As a Property Management Administrator, you will assist the Commercial Asset Manager with:

  • Monitoring and managing lease events such as rent reviews, break clauses, and lease expiries with tenants.
  • Instructing and corresponding with letting agents on vacant commercial properties.
  • Ensuring compliance at block/building levels and correctly filing statutory audits, and Health and Safety compliance documents.
  • Handling county court claims and managing post-CCJ recovery actions.
  • Overseeing annual insurance renewals and managing insurance claims.
  • Minimizing vacant property costs, including mitigating business rates and utility charges.
  • Corresponding with the VOA regarding business rates matters.
  • Preparing and approving service charge budgets, demands, and apportionment.
  • Conducting year-end service charge reconciliations.
  • Providing necessary information to ensure tenant arrears can be paid.

In addition to the above, you will be responsible for:

  • Accurately filing key documents in accordance with company processes.
  • Addressing tenant queries and investigating discrepancies and variances related to tenant rent statements.
  • Processing lease applications for consent, including alterations, assignments, and underlettings.
  • Inputting property data into our central system in line with company procedures.
  • Updating and distributing property reports.

Requirements:

  • A minimum of 2 years of comparable experience.
  • Comprehensive and up-to-date knowledge of relevant legislation.
  • Exceptional accuracy and attention to detail.
  • Excellent organisational skills, with the ability to prioritize tasks, manage time efficiently, and meet deadlines.
  • Strong communication and writing skills.
  • Ability to work both autonomously and within a team.
  • Initiative and sound judgment.
  • Previous experience with Qube property management software preferred.
  • Proficient in MS Office, including Excel, Word, Outlook, and MS Teams.
