Your new role

The purpose of the role is to ensure the smooth running of departments which share the same timetable, through administrative tasks and the following of company processes and procedures.

  • Booking & invoicing
  • Manage shared email accounts, liaising with prospective and current clients, teachers and other departments
  • Payment chasing/cancellations/credit notes
  • Create notes for each booking and clearly detail specific needs for individual events
  • Provide administrative duties as requested by other members of staff as detailed in central shared to do lists
  • Provide bookings and events briefings to staff
  • Liaise with clients post event, requesting feedback and dealing with customer complaints
  • Research opportunities to market/develop and extend both departments
  • Assist in creating copy for newsletters and other marketing material
  • Assist in creating budgets and proposals for new types of public and private events
  • Data processing
  • Reception/dealing face-to-face with clients when needed.
  • Helping customers to book classes and manage their accounts.
  • You will be required to undertake other duties as and when required by the company.

What you'll need to succeed

  • Proficient with Excel
  • Strong IT skills including the use of MS Office
  • Excellent written and verbal communication skills
  • High degree of attention to detail
  • Ability to work quickly and efficiently under pressure
  • Ability to work as part of a team and independently
  • Professional, helpful and approachable in attitude
  • Ability to prioritise a competing and everchanging workload.
