We are partnered with a thriving, prestigious school committed to providing a supportive and enriching environment for their students. Our client are now seeking a dedicated and personable Middle School Secretary to join their team and ensure smooth daily operations, effective communication, and exceptional service to their school community.

Key Responsibilities:

  • Greet and welcome visitors to the Middle School, providing a friendly and professional first impression.
  • Support requests from parents, students, and faculty, addressing their needs promptly and efficiently.
  • Handle queries and complaints via phone, email, and general correspondence, ensuring timely and accurate responses.
  • Collect and distribute Middle School post, deliveries from Security, and internal mail, ensuring prompt communication with relevant persons.
  • Provide effective assistance with parental inquiries and issues in a timely manner.
  • Provide guided and assisted visits for prospective and returning families when needed, showcasing the school's facilities and programs.
  • Maintain an accurate and up-to-date Middle School calendar on all platforms, ensuring clear communication of events and deadlines to both faculty and parents.
  • Provide efficient daily attendance tracking, ensuring student accountability within 30 minutes from the start of the school day.

Please note, this is a FTC working term time only

Event Coordination:

  • Coordinate early pickups and school events, facilitating clear communication between parents, students, and faculty.

Student Records Management:

  • Respond to transcript queries, student data, and recommendations, enhancing student records management.

Qualifications

  • High school diploma or equivalent (required).
  • Additional administrative or secretarial training (preferred).

Experience:

  • Previous experience in an administrative or secretarial role, preferably in an educational setting.

Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks effectively.
  • Friendly and professional demeanor with strong interpersonal skills.
