Job Overview

If you have previous experience working as a Contracts Administrator or in Bids and Tenders, then this could be just the opportunity for you. The Contracts Administrator will be responsible for managing and overseeing the company's contracts from inception through execution. This role involves ensuring compliance with company policies, reviewing terms, and maintaining accurate records of all contract activities. The ideal candidate will possess excellent organisational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

In this role, you will provide contracts administration support to the Sales Manager and 5 Account Managers. You will maintain a database of customer details and contracts, prepare and review contracts, generate quotes, process orders and keep customer information up to date.

Key Responsibilities

  • Draft, review and prepare contracts, including but not limited to service agreements, non-disclosure agreements and vendor contracts
  • Ensure all contracts follow company policies and legal requirements
  • Maintain a centralised record for all contracts and related documents, ensuring all contractual documents are properly archived and easily accessible
  • Monitor and ensure compliance with contractual terms and conditions
  • Identify and mitigate potential risks associated with contract execution
  • Provide contracts administration support to the Sales Manager and 5 Account Managers
  • Work closely with internal teams to understand and meet their requirements during contract negotiations
  • Develop and maintain positive relationships with external parties to facilitate smooth negotiations
  • Coordinate with legal and compliance teams to ensure all contractual obligations are met
  • Maintain a database of customer details and contracts
  • Prepare regular reports on contract status, key metrics and performance
  • Identify areas for improvement in contract management processes and implement best practices
  • Develop and update contract templates, guidelines and standard operating procedures

Skills and Competencies

A good understanding of contract law and contractual terms and conditions is desirable

Excellent communication skills

Exceptional organisational skills and attention to detail

Ability to manage multiple tasks and prioritise effectively

Proficiency in contract management software is desirable and Microsoft Office

This role offers a hybrid working pattern, with occasional travel for contract/customer meetings. Collaborative work environment requiring close interaction with the Sales Manager and Account Managers to ensure the highest standard of service to all customers.
