Assistant Property Manager - Space House

Purpose of the Role

Space House is an iconic building in the heart of London, consisting of 255,000 sq feet of Grade-A offices, retail, Clubhouse, restaurant & the highest provisioned office cycle centre in London. Launching later this year, we're building a team with a focus on excellence in customer service and seamless operations.

The purpose of this role is to assist the Client Services Director (‘Property Manager') and Engineering Manager in all aspects of the day to day running and maintenance of the property, including working with service partner teams, customers and other stakeholders and ensuring the required standards are achieved and maintained at all times. The role will include some management of soft services, as well as assisting with enlivenment, ESG and social value activities in the building.

Key Responsibilities

  • Support the Management team in advancing good client relations with appropriate occupier representatives; propagate open communication and flow of information on building issues
  • With assistance from the Property and Engineering Manager(s) ensure and update records of compliance with all site operational processes and procedures
  • Assist the Property & Engineering Manager(s) in procuring quoted costs and other appropriate information to facilitate the production and subsequent management of the building service charge budget
  • Support Property & Engineering Manager(s) in ensuring that health & safety, emergency procedures and safe working practices are enforced and conform to current legislation. In the absence of the Property Manager to take control of any emergency situations and execute evacuation plans
  • Support the Property & Engineering Manager(s) in undertaking regular physical inspections of completed works and service contracts and of all areas of the premises in their entirety
  • Support the Property & Engineering Manager(s) with all aspects of routine correspondence and lead on administrative duties to support the efficient running of the building management office
  • Assist the Property & Engineering Manager(s) ensure building audits and log books are being completed and updated regularly as per company policy
  • Work with the Property & Engineering Manager(s) reviewing permit applications ensuring all relevant sections are completed as per Risk Assessments and Methods Statements
  • Assist the Property & Engineering Manager(s) in ensuring that the production of service specifications, contracts and associated documentation properly represent the service requirement of the premises and are presented and executed in accordance with company guidelines
  • Assist the Property & Engineering Manager(s) with placing, tracking and processing of service charge orders and invoices ensuring costs are coded correctly as per the building service charge budget
  • Assist with the tracking and processing of service invoices and the production of management accounts
  • Assist Property & Engineering Manager(s) procuring costs for production of annual building service charge budgets and the input of internal resources ensuring strict adherence to the published programmes
  • Research and collate operational data required for the production of client reports
  • Arrange with the appointed contractor the design and implementation of landscaping/decorative planting
  • Take ownership of the sites vision and values ensuring that they are fully integrated in to all of the buildings services
  • Provide support and assistance to the wider Management Team when required
  • To take responsibility for self-development learning and attend training courses as required
  • Other duties as directed

Working Hours - Monday - Friday +/- 40 hours

Salary - £38,000 - £42,000
