This innovative organisation, located near Bicester, is seeking a dedicated Executive Assistant to support their CEO, CFO, COO, and Head of HR. Purpose of the Role: As the Executive Assistant to our C-Suite and other appointed leaders, you will be instrumental in ensuring their operations run smoothly. Your support will enable them to focus on their core responsibilities and drive the company's success.

Main Responsibilities:

  • Coordinate and manage logistics for offsite meetings for the C-Suite and Property team.
  • Plan, manage, and attend stakeholder meetings; support presentation preparation for key events such as open afternoons, council events, and community meetings.
  • Oversee all aspects of the COO's diary, travel, appointments, and bookings.
  • Arrange travel for the C-Suite, ensuring purchase orders are raised and expenses are tracked and submitted promptly.
  • Maintain and distribute stakeholder lists for the C-Suite.
  • Ensure digital filing is up to date and complete.
  • Raise purchase orders for the C-Suite and HR Lead, handle related queries, and update budget tracker sheets.
  • Manage the COO's inbox and phone queries, redirecting as needed during absences.
  • Handle ad hoc requests from the COO, including copy typing, scanning, filing, and meeting logistics support.

Essential: Lives locally and able to drive, fluent in English, self-motivated, and professional.
Desirable: Able to multitask and prioritise, flawless communication skills, excellent organisational skills, high flexibility, and ability to build relationships at all levels.

Qualifications:

  • Minimum of 5 years' experience as an EA at C-Suite level.
  • Experience in fast-paced SME environments; start-up experience is advantageous.
  • Background in Finance, Leisure, Hospitality, or Retail environments is beneficial.
  • Membership in the Institute of Executive Assistants and Administrators is a plus.
  • A-level or equivalent education; Business Support or Administration qualifications are ideal.
