Overview:
Our client, a leading international company, is looking for a highly organized and motivated Graduate Project Coordinator to support their Aramco team in Leatherhead. This long-term role will involve a wide range of administrative and support tasks to ensure smooth operations for the project team. The ideal candidate will be a self-starter with excellent communication skills, an ability to work with both internal teams and external clients, and a keen eye for detail.
Key Responsibilities:

Catering & Meetings:
-
Maintain and organize coffee/food orders for Aramco, ensuring timely and efficient service.

Coordinate meeting room bookings and catering for both internal and external meetings.

Organize seating and furniture arrangements to accommodate team changes (new joiners and leavers).

Documentation & Communication:
-
Write project letters, number, issue, and file them appropriately.

Assist with document management activities including project admin lists/registers on SharePoint (e.g. vacation, IT equipment, catering, travel, letter logs).

Organize and maintain access for new starters and visitors, ensuring they have the necessary resources (e.g., SharePoint access).

Liaise with IT for any issues related to conference room setups and general IT needs for the project team.

Support for Aramco Personnel:

Assist Aramco personnel in their relocation efforts, including accommodation, schooling, transportation, and other settling-in requirements for their families in the UK.

Travel & Transportation:

Arrange business travel for team members, ensuring all logistics are handled smoothly.

Organize taxis, travel, and transport for visitors.

IT & Office Equipment Management:

Ensure the TV monitor is ready for 11am toolbox talks, and distribute the corresponding toolbox notes.

Ensure photocopiers and other office equipment are functioning properly and replenished by IT.

Technical Skills:

Use SharePoint, Word, Excel, and DocuSign effectively for document management, record-keeping, and project coordination tasks.
Qualifications & Skills:

Essential:

Degree-level qualification (or equivalent experience)

Strong proficiency in Microsoft Office Suite (Word, Excel, SharePoint) and DocuSign

Excellent organizational and multitasking skills

Strong written and verbal communication skills

Ability to work independently and manage multiple tasks simultaneously

Comfortable interacting with both internal teams and external clients
