EXPERIENCED EA TO SUPPORT A PRESIDENT IN A GLOBAL ORGANISATION

We have an excellent opportunity for an experienced Executive Assistant to provide support to a President and their Deputy, at a leading global engineering and technology company in their central London offices.

The ideal executive assistant should be purpose-driven and highly organized, with experience supporting C-suite executives. They must also demonstrate outstanding administrative skills to provide senior-level support to the President and Deputy on various complex, sensitive, and confidential matters. The role involves managing complex travel arrangements, as well as organizing visas for the principals.

The ability to multitask is essential in order to divide your time between the President and their Deputy, and facilitate a smooth transition as the Deputy assumes the role early next year following the President's retirement. In addition, it is advantageous to have experience working with or in other cultures and to act as a guide for the Deputy to seamlessly acclimatize to English culture.

The Executive Assistant must be able to react and respond to tasks promptly. In addition to excellent time management and gatekeeping skills, the ideal candidate should be resourceful, have a keen eye for detail, and take a proactive approach to problem-solving.

The standard office hours are from 9 a.m. to 5:30 p.m., Monday to Friday at their central London offices. Be prepared to occasionally respond to urgent matters or last-minute changes outside of normal working hours. The position offers a competitive salary, generous holiday allowance, medical cover, pension, and a daily meal provided onsite.

DUTIES TO INCLUDE:

  • Travel planning and coordination, both nationally and internationally
  • Organisation of Visas
  • Assist in the deputy's relocation to the UK
  • Highly skilled in diary and inbox management
  • Communicate with the President and deputy as well as their teams
  • Research and meeting preparation
  • General administrative tasks
  • Compose, prepare, and manage all correspondence
  • Assist the principals with any personal matters
  • Facilitate the process and provide assistance as needed during the transitional period

ESSENTIAL CRITERIA

  • Previous experience supporting C-Suite Executives
  • Expert organisational and project management skills with precise attention to detail
  • A high level of proficiency with Microsoft Office and online meeting platforms
  • Able to work at a fast pace with constantly changing requirements
  • Personable and able to build rapport easily
  • Good knowledge of, or previous experience working in or with other cultures
  • Dedicated and committed; an individual who appreciates the importance of being in a critical support role and is willing to step in and assist with ad-hoc requests
  • Flexible to occasionally work outside standard office hours
  • Can work independently with minimal supervision
  • Right to work in the UK
