The Embassy of the Grand Duchy of Luxembourg in London ( United Kingdom) is recruiting 1 consular officer (m/f) fixed term contract with effect from 1 September 2024 until 4 May 2024 40 hours/week

As a consular officer, you will be responsible for the day-to-day operations of the visa section, ensuring adherence to Schengen Area rules and managing visa applications from inception to completion. Your duties will include handling initial requests, conducting face-to-face interviews, collecting fingerprints, performing data entry, and utilizing specific software for processing. Working within a small team, your focus will be on delivering customer-oriented services with a professional and courteous approach during direct interactions with customers. This role will also involve liaising with the Luxembourg Ministry of Foreign and European Affairs, Defence, Development Cooperation and Foreign Trade and assisting members of the public.

Your tasks consist of:

  • Answering emails and phone calls regarding all aspects of traveling to the Schengen area
  • Sending and logging outgoing mail
  • Managing the day-to-day operations of the visa section and enforcing Schengen Area rules
  • Booking appointments in the online calendar
  • Conducting interviews with visa applicants from diverse backgrounds and thoroughly reviewing their submitted documentation to ensure alignment with the intended purpose of travel
  • Inputting applicant's paper documentation into electronic format
  • Capturing biometric data
  • Reviewing passports, UK residence permits, previous visas, and entry/exit stamps to determine eligible visa durations
  • Collaborating with the Ministry of Foreign and European Affairs, Defence, Development Cooperation and Foreign Trade in exceptional individual cases
  • Notifying applicants of the Ministry's decisions on their applications
  • Printing and issuing visas to successful applicants
  • Maintaining a register of all completed applications
  • Archiving completed applications in both paper and electronic formats
  • Providing ad-hoc assistance to the Deputy Head of Mission (DHOM) and Consul of the Embassy, as well as other team members

Requirements:

  • You have a secondary school diploma or equivalent
  • You are fluent in English, both spoken and written; proficiency in other languages is advantageous
  • You are proficient in MS Office
  • You pay attention to detail and accuracy
  • You are an excellent communicator
  • You have previous work experience in a similar role is advantageous
  • You are able to work independently as well as part of a team
