Job Purpose

To work alongside the Legal Director for the Construction department, in providing a full and efficient service, exercising confidentiality and high standards of client care at all times.

Key Duties and Responsibilities:

  • To carry out and be responsible for tasks given by the Construction department.
  • Use of DPS software (case management system) - training will be given, but a willingness and ability quickly to get to grips with new software is required.
  • Opening new files and checking documents.
  • Photocopying and scanning.
  • Managing incoming and outgoing post, telephone calls and e-mails as required.
  • Updating and creating databases and directories where appropriate.
  • Audio and copy typing.
  • Arranging Teams meetings.
  • Ensuring electronic (on DPS) and hard copy files are kept tidy and up-to-date.
  • Assistance with preparation of court forms, arbitration and adjudication documents.
  • Typing witness statements and Excel spreadsheets (intermediate knowledge of Excel is preferred).
  • Closing and archiving files when matter is completed. Checking nil balance with Accounts and confirming destruction date with Fee Earner.
  • Prepare OneDrive files and download and marshal documents.
  • General document management.
  • Billing and reviewing WIP on matters monthly to assist keeping WIP to a minimum.
  • Assist with GDPR and Anti Money Laundering tasks
  • Travel locally to deliver and collect documents from contractors, solicitors and consultants (expenses paid)
  • Training suitable to the role.
  • Occasionally provide cover for Reception and post duties at times of holidays and sickness
  • Any other "ad hoc" duties when required, including flexibility to cover in other departments within the Bristol office to meet the needs of the firm.

Hours

Part-time, approximately 15 – 22.5 hours per week at the outset but with the potential to increase to nearer full time hours in the future. There is some flexibility with agreeing the total part-time hours and days to be worked. This role will be office based but some hybrid working can be arranged with approval from the Legal Director.

This role meets the requirements in respect of exempted questions under the Rehabilitation of Offenders Act 1974. This role will require applicants who are offered employment to be subject to a criminal record check from the Disclosure and Barring Service before the appointment is confirmed. This will include details of cautions, reprimands or final warnings as well as convictions.

Person Specification, Essential criteria

Legal Status:

Right to live and work in the UK, e.g., valid UK passport or appropriate visa/work permits.

Education / Qualifications:

Minimum Score 5 or above (Grade C) GCSE's (or equivalent) in English and Maths

Skills/Knowledge:

  • Relevant experience working as an Administrator in a fast-paced office environment
  • Ability to travel locally with use of own transportation when required
  • The ability to do audio typing
  • Self-organised and proactive
  • Attention to detail
  • Ability to maintain client confidentiality
  • Adaptable to the needs of the business as changes occur during the operational requirements
  • Competence in the effective use of Information and Communications Technologies (lCT).
  • The ability to prioritise, meet deadlines, and work under pressure
  • Excellent interpersonal, communication and presentation skills

Desirable:
