JOB PURPOSE:

The purpose of a Transport Debrief Clerk is providing administration support to the transport office, to ensure the drivers are fully briefed on their route and fully debriefed on return, in line with company procedures and legal requirements.

KEY ACCOUNTABILITIES:

  • Responsibility for the POD (proof of delivery) process, ensuring all POD's are processed and managed in line with company procedures and sent to the relevant department.
  • Complete SAP Debrief in accordance with set timelines.
  • Updating the day-to-day DOT reports for all customers, ensuring any time deadlines for the reports are met at all times.
  • Ensure card readings / vehicle downloads are completed as required.
  • Milk PVA to be completed on driver debrief, challenging any driver when prompted and adding the comment
  • To complete a 'track and trace' process using the internal systems.
  • TMS Schedule kept up to date, all additional work/changes are added onto the plan and confirmed with planning - save/review the TMS schedule before despatching drivers
  • To share the responsibility for data-entry along with other members of the department.
  • To communicate with customers via telephone and/or e-mail and to provide an excellent level of service to all internal and external customers.
  • Handling driver issues at store/delivery point and escalating to Customer services for Arla and Transport Shift Managers for any other
  • Ensure all Moran's vehicles returning to site are checked against the outbound check sheet and any changes to the condition of the vehicle or any concerns raised by the driver are recorded and reported to the Transport Shift Managers.
  • Adhere to all company policies and procedures, to include the company dress code policy, standards of performance policy and health and safety policy.
  • Responsible for ensuring all drivers receive the correct paperwork and are fully briefed at the start and end of their run, in line with company SOP's and legal requirements.
  • Ensure all documentation on debrief is completed correctly and in line with SOP's.
  • Ensuring Microlise is managed and monitored, making sure all information is present and correct and there is full compliance to any regulations.
  • Review of Microlise to ensure that all missed visits/none tracking routes are actioned - none tracking routes and missed visits to secure times from drivers
  • All drivers have presented all 3 Cards on arrival to commence work. (expiry dates checked)
  • Accurately recording drivers' hours, including agency drivers, ensuring adherence to their run times stated on their paperwork. Reporting any anomalies directly to the Transport Shift Manager.
  • Any other ad-hoc duties as and when required, to provide support to the business.
  • To maintain a high level of system housekeeping.
  • To work efficiently to agreed timescales.
  • To organise, manage all paperwork and file for auditing purposes.
  • To enter all necessary data on to the in-house computer system.
  • To ensure you follow safe working practices.
  • To promptly report all accidents and incidents to your line manager.
  • To assist in accident investigations, as necessary.
  • To adhere to relevant site rules, QEHS policies and procedures including quality procedures, HACCP, safe systems of work and environmental controls.
  • To have good communication skills and ability to liaise verbally confidently with employees and Management.
  • To listen carefully to instructions.
  • To keep your manager up to date with any work issues that may affect deadlines.
  • To be flexible to work on a variety of duties and locations as required.
  • Ensuring cover in peak periods, emergencies, training, holidays, sickness, and absence.

  • Good working knowledge of Outlook, Word and Excel.
  • Have a working knowledge of Transport Legislation / WTD / Drivers hours.
