Personal Assistant to Director

Start date: 8th July 2024

Part time role: 3 days a week (hours/ days within reason to suit applicant but agreed before start date - room for flexibility)

Location: Oxford and various site locations. Please note work will either be on your own or alongside Mark.

Salary: £30,000 pro rata

Mark is a Projects Director who for 40 years has worked through referral and directly for private clients and is first contacted when they are looking to alter a property. Current and typical projects include "high end" houses and apartments in central London, Country estates and a City's first public art gallery. Mark brings to each project his great experience, wide knowledge and the best and most suitable specialists, professionals, contractors, workshops and artisans to take each bespoke project from concept to completion.

Job Description:

The main purpose of the Personal Assistant is to perform secretarial work typing up emails and documents in Word and Excel from handwritten notes and hand drawn drafts. You will either work independently or alongside Mark. The successful candidate will need to be able to work under pressure, deal with a heavy workload working on several projects at the same time, work on own initiative and have good attention to detail.

Key Duties:

  • Organising and maintaining office systems using Word, Excel, Sharepoint and Dropbox
  • Communicating via email only with clients as well as the professionals involved in each project
  • Producing, reformatting and manipulating Word, Excel and PDF documents
  • Efficient and quality typing of reports, presentations, information memoranda, emails and correspondence
  • Often working under tight deadlines to produce and search for documents
  • Maintaining strict confidentiality
  • Assist with the Director's billing and expenses
  • Research on behalf of the Director for prospective clients

Key Skills - The ideal Personal Assistant MUST HAVE:

  • Proven work experience as a Personal Assistant for Senior Management
  • Very strong Microsoft Office skills (Word and Excel), also Adobe and Dropbox
  • A flexible and adaptable approach while working under pressure
  • Ability to use initiative, pre-empt requests, be proactive and forward thinking
  • Excellent written communication skills
  • Ability to work on several projects at the same time and to prioritise accordingly
  • Strong attention to detail
  • Confidence in being able to work autonomously
  • Ability to work from handwritten notes or hand drawn drafts
