Business Administration Support - Part Time 28 Hours a week

A fantastic opportunity has arisen for an experienced candidate to join Willis Towers Watson, as a part time (28 hours per week) Business Support colleague within our modern, open plan office in Bristol. The role will be office based for the first few months and then change to hybrid, with a requirement of 2 days per week in the office. This is a challenging and rewarding role, drawing on and further developing team working, administration and organisational skills.

The ideal candidate will have had previous experience in a similar role, be tactful and diplomatic and enjoy taking the lead on internal processes and procedures within all admin functions and ensuring their continuous improvement. You'll inspire confidence in a small team and peers and be a strong self-starter who values great team ethics and thrives in assisting others with day-to-day challenges.

Job Role

You would be responsible for, but not limited to:

  • Providing a seamless/reliable high level of administrative support to the team. .
  • Calendar management: meeting preparation and support (scheduling, monitoring attendance, catering, AV setup, IT requirements, preparation of meeting materials and note-taking as required)
  • Arranging travel, mailbox management (using initiative and with minimal intervention).
  • Follow and comply with the internal Records Management systems.
  • Production of client materials; create reports, letters, meeting notes, presentations in accordance with company templates, branding, and house style, produce client-ready template material, proof-reading non-technical material.
  • Comprehensive billing and financial management; prepare client billing accurately and on time each month, budget tracking, financial monitoring and follow up, production and interpretation of management information reporting.

Requirements

  • Technical skillset should include advanced understanding of the Microsoft Office 365 suite (Word, PowerPoint, Outlook, MS Teams); and a good understanding of Excel, strong command of the English language, spelling, and grammar; good level of numeracy; accurate typing/data entry efficiency.
  • Strong written and verbal communication skills used to effectively facilitate the understanding of a full range of views and develop support for business initiatives/cases.
  • Proven analytical, organisational, and project management skills.
  • Highly skilled in managing interpersonal relationships with all colleagues/teams with a primary focus on colleague/client satisfaction
  • Effective influencing skills and ability to assist key stakeholders in reaching satisfactory resolutions

Ability to work as part of a team is key, you must be willing to actively participate and contribute and use your initiative to help two other busy Administrative team members

  • Line Management of two administrative team members
  • The ability to be persistent and persuasive with colleagues at all levels within the business
  • Strong customer service, client focused, solution focused and attention to detail
  • The ability to handle sensitive information in an appropriate manner
  • Excellent organizational skills, with the ability to estimate workload, prioritize and work to agreed timescales reliably
  • Have a flexible approach in undertaking a variety of responsibilities, capable of handling and providing creative solutions to problems
