Role Overview

We are seeking a diligent and motivated Contracts Administrator to join our dedicated team in either our Loanhead or Glasgow office. This key role supports the Account Director and Account Managers in delivering a professional, customer-focused service to a national client. You will work both independently and as part of a collaborative team, contributing to the continuous improvement of our service.

Key Responsibilities:

  • Draft and send enquiries to subcontractors, driving strong engagement within the supply chain.
  • Assist in the compilation and tracking of quotations alongside the account management team to provide to client.
  • Utilise our CAFM system (Concept) on a daily basis to facilitate the progress of tasks
  • Manage, maintain, and update contract folders within the system.
  • Provide administrative support to the Account Director and Account Managers
  • Aid in minimising work in progress by ensuring timely completion of tasks
  • Build strong, collaborative relationships with colleagues, clients, and the supply chain
  • Raise purchase orders as required
  • Assist with system closures and database management, including downloading data and generating reports (training provided).
  • Downloading system data and reporting on (training provided)
  • Support the updating and recording of compliance documentation
  • Maintain supplier contacts, escalation procedures, and customer escalations to meet KPI requirements
  • Perform any other duties necessary to ensure the seamless provision of services and uphold contract administration

About You:

  • Eligibility to work in the UK is essential
  • Strong administrative experience, with excellent organisational skills
  • Proficiency in IT, including Microsoft Office and bespoke systems
  • Exceptional relationship-building and communication skills, both written and verbal
  • A proactive, self-motivated attitude with a strong focus on commercial awareness within the FM sector
  • Ability to prioritise tasks to meet deadlines while maintaining a positive and adaptable approach
  • Keen attention to detail with a 'Can Do' attitude and a willingness to learn and evolve in line with contract requirements
  • Enthusiastic about personal development and staying up-to-date with industry knowledge
  • Good organisational skills and the ability to prioritise to meet deadlines
