Events Coordinator

The Worshipful Company of Information Technologists, the 100th Livery Company of the City of London is looking for an Events Coordinator to join its team. Its membership is drawn from all areas of information technology, and it aims to promote fellowship, education, support of the IT industry and charitable giving.

We are looking for a confident and enthusiastic individual to join our team for a period of maternity cover. You will work closely with the Clerk, organising our programme of formal and informal events. You will be responsible for the administration of bookings for the hire of space at the Hall as well as the production of our weekly electronic newsletter to our members. Proficient in the use of social media, you will be part of the team updating our social media channels with news on recent Company activities. Lastly you will provide general administrative support in the Hall.

As Events Coordinator, your daily duties will include:

  • Researching and identifying venues, catering companies and other services as required.
  • Obtaining quotes and preparing budget figures for review with Financial Controller and Clerk.
  • Preparing event communication, ensuring company website and social media channels are updated in conjunction with the Assistant to the Clerk.
  • Processing attendee bookings/payments and producing regular status reports
  • Liaise with venue, catering and other service providers throughout event organisation process
  • Acting as primary point of contact for Hall hire enquiries and maintaining the bookings calendar with relevant information
  • Updating the social media platforms in conjunction with Assistant to the Clerk and Charity Coordinator
  • General administrative support including logging maintenance calls with external service providers and ordering office consumables as required
  • Meeting and greeting service for visitors to the Hall
  • Supporting some evening events in the Hall

To be a successful Events Coordinator, you will have the following skills and experiences:

  • Strong verbal and written communication skills.
  • Th ability to interact effectively with a wide range of people.
  • The ability to work in a team.
  • Organised and logical with attention to detail.
  • Strong IT skills with experience in Microsoft Office; experience with Perfect TablePlan, Mailchimp and Adobe InDesign or similar is desirable.
  • Flexible attitude to the various demands of the role.

This is a 100% office-based role. You will be starting from late September 2024, covering a period of maternity leave for approximately 12-months (some flexibility required).
