We are hiring for a French speaking Finance & Office Assistant to join an international design studio in London. You main responsibility will be to work as part of a vibrant, international team in the UK office to manage daily finance and operational responsibilities as well as coordinate with their Pairs office when required.

Location of the job
London office, remote options 2 days a week. Typical work structure is 3 days a week in the office, 2 days a week remote / work from home option.

Language requirements for the job
Fluency in English is essential and also fluency in French. Fluency in other languages, such as Italian or Spanish is an advantage but not essential

Job responsibilities of the French speaking Finance & Office Assistant
As their French & English speaking Finance & Office Assistant, you will work with an international, fast pace and dynamic team, mostly managing daily finance operations mostly for the UK London office and coordinate when required with the office in Paris.

You role will typically include the following duties and responsibilities:

  • Day to day bookkeeping for the UK office, such as Bank reconciliations, Making payments (including staff expenses), Issuing invoices (including interoffice invoicing) and billing statements that are for client's use, Assisting the wider business with financial reports including P&l, cash flow and reviewing VAT returns
  • Providing PA support to the Director
  • Monitoring timesheets & Staff expenses (incl. chasing staff), onboarding new staff, preparing monthly payroll for the accountant, overseeing company benefits (pension, cycle scheme)
  • Monitoring memberships renewals & courses (RIBA, ARB, CSCS, first Aid/Fire warden courses)
  • Monitoring and ordering supplies of stationery and equipment
  • Supporting the development and implementation of office and administrative systems, such as record management, data management and filing
  • Coordinating Quality insurance for the UK office and overseeing ISO Audits and file maintenance
  • Providing administration and reception cover
  • Managing the office diary and travel
  • Managing and distributing incoming communication
  • Assisting with organising both in house and external events, liaising with the Paris team as required
  • Day to day management and organisation of the London office

The successful candidate background

  • Fluency in English and French. Fluency in other languages, such as Italian or Spanish is an advantage but not essential
  • Previous experiences as a finance assistant or office assistant or bookkeeper or similar accounts role / purchase ledger experience
  • Strong Excel skills and good MS Word skills are essential
  • Experience of accounting software is highly desirable
  • Experience of working in a design studio or architectural practice or design environment would be advantageous
  • Display excellent levels of enthusiasm, initiative, interest in the job and team work

Salary, benefits and working hours
£28,000 - £35,000 negotiable. Benefits include 25 days holiday, Private medical Insurance, Cycle-to Work Scheme, Company Pension
