Team PA

My clients are recruiting a team PA to join their private client group on a 12-month fixed-term contract.

Our clients are a distinctive London-based law firm. The group provide legal advice on a wide variety of issues to entrepreneurs, family offices, trustees, private banks, charities and individuals.

The role

To provide an efficient, client focused professional legal support service to fee earners. Key duties include:

Communication

  • handle enquiries from internal and external callers and relay messages promptly;
  • accessing fee earners' inboxes and checking voicemails upon request. This includes supporting fee earners when they are on annual leave or for longer periods of absence such as secondments, sabbaticals, maternity and paternity leave;
  • demonstrate awareness at all times that you are the "face of the firm", e.g. the first port of call for potential new instructions; and
  • build a good knowledge of the firm's clients and develop a rapport with members of the client team.

Document management and production

  • being proactive to ensure that all typing, document formatting and redaction work is sent with clear instructions and deadlines to our document production (DP) team;

Administration and finance

  • assisting with diary management, including setting up meetings and conference calls which often involves liaising with reception, room bookings, IT support and facilities;
  • travel and accommodation arrangements using the firm's preferred travel agency;
  • taking the initiative and responsibility for liaison with reception and room bookings, IT support, facilities and other internal teams;
  • completing the procedures of all accounts payments and expense forms;

Business development

Supporting the fee earners and the marketing and BD team on activities that might include some of the following:

  • ensure that contact and client contact information is maintained and updated on InterAction;
  • organising smaller BD events such as lunches, dinners and drinks and ensuring these activities are tracked in InterAction;

The candidate

Broadly, we want to recruit an individual that fulfils the following criteria:

Qualifications, experience and technical skills

  • strong PA experience in a law firm/finance firm is desirable;
  • secretarial qualifications desirable e.g. RSA, CILEX, legal secretarial diploma;
  • intermediate user knowledge of Microsoft Outlook, Word, Excel and PowerPoint; and
  • accurate typing, spelling, grammar and proof-reading skills.

  • excellent communication and people skills, both oral and written;
  • must be a team player, whilst also being keen to take responsibility for their own duties;
  • good organisational and administrative skills with the ability to prioritise tasks to meet deadlines;
  • adaptable and flexible in an ever evolving role.
