My client a social housing organisation which is Southwark's largest resident-managed housing organisation is seeking an experienced organised Repairs Scheduler / Planner to join the vibrant team at their head office near London Bridge.

Purpose of the Job

As a Repairs Scheduler, you'll manage the scheduling of responsive repairs, communal works, and void works in a dynamic housing office. You'll coordinate with both our in-house repairs team and external contractors, applying schedules and priority times to each job. You'll also liaise with residents to arrange appointments and ensure jobs are completed accurately and efficiently.

Main Accountabilities

  1. Plan, schedule, and allocate repair jobs to meet priority times for both in-house teams and contractors.
  2. Log repairs with detailed information to ensure jobs can be completed in one visit whenever possible.
  3. Analyze demand and work in progress to optimize performance, especially First Time Fix rates.
  4. Re-prioritize works as needed, balancing tenant needs, tenancy agreements, and efficient use of repair operatives.
  5. Apply correct schedule of rates codes to standard repair work orders.
  6. Ensure work orders are completed and the repairs system is updated in real-time with accurate information.
  7. Liaise with residents via phone, email, and in person to arrange appointments, facilitate work completion, and resolve complaints.
  8. Manage follow-up work and access arrangements, communicating changes and progress to residents and colleagues.
  9. Track and monitor work progress to ensure smooth operations for residents and trades staff.
  10. Assist with compiling KPIs and other quality performance statistics.
  11. Cover reception and other administrative duties, including invoice processing and mailbox monitoring.
  12. Promote the use of CRM and train new staff as needed

Ideally you will have worked within a similar sector and have an understanding of trade and operatives' duties i.e. plumbers, carpenters, plasterers and electricians. .

Experience of using systems to progress and manage workload.

An understanding of schedule of rate codes and priority codes to repairs

Scheduling works into diaries for operatives daily

Experience of dealing directly with customers in social housing related situations.

Strong attention to detail with meticulous approach to checking own work for accuracy.

Working knowledge of how long standard repairs take.

Salary up to 31'716 + great benefits such as 27 days annual leave, and a very competitive pension contribution
