Role Overview:
The Property Finance Assistant will play a key role in supporting the property management team and finance function by coordinating tenant-related tasks, managing contractor communication, and handling essential administrative duties. You will ensure smooth day-to-day operations, providing a high standard of service to leaseholders and contractors alike.
Key Responsibilities:
- Post invoices to the accounting software, maintaining accurate records.
- Resolve supplier queries, acting as a reliable point of contact for financial questions.
- Liaise directly with leaseholders and contractors to ensure clear communication and swift action on requests.
- Coordinate the start of new tenancies, ensuring all documentation is complete and processes are followed.
- Arrange quotes for repair work, source cost-effective solutions, and coordinate with contractors.
- Handle incoming and outgoing emails, ensuring timely and professional responses.
- Assist with general administrative tasks, including filing and record-keeping.
- Answer phone calls, providing assistance or directing calls to the appropriate personnel.
Requirements:
- At least 1 year of experience in a lettings administration or property management role.
- Proficiency with Microsoft Office and IT systems.
- Experience with the NetSuite Accounting System (Desirable).
- Excellent organizational skills, with the ability to prioritize tasks and manage your workload independently.
- Strong communication skills and a customer-focused attitude.
