An exciting opportunity for an Operations Administrator to join a market-leading company with 30 years' experience in their sector who are embarking on the next stage of growth within their group structure.

In this fast-paced Operations Administrator role, you will support the efficient running of the all-important group supply chain, with a particular focus on purchasing and supplier liaison.

As well as working with various external stakeholders, the role provides an important collaborative link between internal departments, so an ability to operate and communicate efficiently is needed, as is the confidence to work independently.

Supporting and owning a range of tasks across the Purchasing, Logistics, Finance and Sales Administration functions, the role is a true development opportunity for the right candidate, with the chance to build skills in a stable but challenging environment. Experience of a similar role or the described tasks is preferred, but just as important is a willingness to learn and adapt.

Job Description

Data Entry

Update the system with accurate goods receipt dates. Maintain various reports and spreadsheets, supplier information and price lists. Regularly update import shipment trackers. Ensure timely and accurate supplier invoice entry. Manage online filing and archiving of product certifications, quality forms, company certifications, etc.

Stock replenishment and movement

Track customer sales orders and raise orders with UK suppliers for stock items and office or premises supplies. Organising stock movement between warehouses.

Accuracy

Ensure supplier invoices match purchase orders, identify discrepancies, and resolve issues.

Teamwork

Liaise effectively with all internal departments and foresight to see where support is needed. Assist the sales team by obtaining supplier quotes for parts promptly to ensure smooth running of business. Provide occasional warehouse assistance during busy periods.

Communication

Handle incoming calls/emails for the Operations department. Proactively support colleagues as workload changes. Communicate stock delivery date changes to relevant team members. Resolve delivery inaccuracies with suppliers.

Skills

  • Accuracy with keen eye for details and discrepancies
  • Experience of working within a similar role within a dynamic environment advantageous
  • Experience of working within purchasing environment a bonus
  • Excellent written and verbal communication skills, with customers, suppliers and internal departments
  • Highly organised with ability to manage a varied workload
  • Ability to adjust and prioritise tasks to meet deadlines and address important queries
  • Self-motivated and able to work independently as part of a small team
  • Proficiency in MS Outlook, Word and Excel
