Job Title: Procurement Assistant

Location: Bexleyheath DA6

Contract Type: 12 Month Contract

Weekly Hours: 35.60

Working Hours and Breaks: 9:00a.m-5:00p.m

Starting Date: 26th august

Job Purpose

  • Support the procurement team in all aspects of the procurement process.
  • Assist with tender and quotation processes, ensuring accurate documentation and recording.

Key Responsibilities

  • Help advertise and tender schemes.
  • Prepare procurement-related documents and reports.
  • Maintain and update the in-house Tendering System and Approved List of Contractors.
  • Handle tender and quotation processing using the Council's electronic system.
  • Communicate with contractors/service providers about tender opportunities.
  • Address client and contractor inquiries, resolving or referring issues as needed.
  • Support tender assessments, including collecting documentation and performing scheduling duties.
  • Enter data into the Financial Information System for contract orders post-tender.
  • Occasionally assist the Head of Procurement and contribute to team meetings.

Job Activities

  • Maintain procurement systems and contractor lists.
  • Assist in client interactions regarding procurement exercises.
  • Provide research, reports, and operational figures related to procurement.
  • Process tenders and handle relevant duties.

Measures

  • Maintain accurate procurement records and contractor information.
  • Achieve timely and efficient handling of procurement tasks.
  • Ensure compliance with statutory provisions and Council processes.

Expertise

  • Understanding of statutory provisions and Council processes.
  • Ability to work independently and collaboratively, with strong problem-solving skills.
  • Strong planning and prioritization skills.
  • Commitment to personal development and learning.
  • Proficiency in relevant software and systems, including Microsoft Word (intermediate), Excel, and Access (basic).
  • Basic knowledge of Local Government procurement processes.
  • Working towards or holding Level 2 in the Chartered Institute of Procurement & Supply.
