Salary: £12 per hour, paid weekly

Our client, a reputable organisation based in Bedford, is seeking a highly organised and professional Administrator & Receptionist for a temporary position. This role is integral to ensuring smooth operations, providing administrative support, and fostering a welcoming environment.

Principal Responsibilities: As an Administrator & Receptionist, you will support by managing administrative tasks, maintaining a welcoming and secure environment, and adhering to established processes and frameworks. You will ensure smooth operations and continuous improvement of security processes, enabling everyone to succeed.

Duties including, but not limited to:

  • Procurement/Office Supplies:

Place orders, manage stock control, and liaise with Accounts regarding invoices.

  • Vendor/Supplier Management:

Support onboarding of new/replacement suppliers, address queries related to existing contracts.

  • Accreditations/Internal Audits:

Assist with data collation, record maintenance, and follow-up actions/reminders.

  • Facilities/Maintenance:

Coordinate with maintenance providers, ensure facilities are clean and well-presented.

  • InfoSec Questionnaires:

Support the completion of initial drafts and respond to CSM team queries.

  • Health & Safety and DSE:

Assist with health and safety compliance, implement DSE actions, conduct fire drills/tests.

  • Asset & Record Management:

Maintain records and ensure assets are documented on inventories.

  • Playbooks Updates:

Maintain office procedures.

  • Joiners/Movers/Leavers (On/Offboarding):

Collaborate with the People Team and Hiring Managers for effective on/offboarding.

  • Reception Desk Presence & Admin Ticket Oversight:

Prioritize, troubleshoot, and escalate helpdesk tickets, ensure office users feel welcome and supported.

  • Events & Hospitality:

Organize and maintain meeting rooms, manage incoming/outgoing post, enhance customer experience.

  • Email/Call Routing/Ring Central Admin:

Professionally handle incoming calls, ensuring quick and accurate responses.

  • Support to Projects:

Assist the Business Support Manager with ad-hoc projects and events as required.

Skills, Experience, and Qualifications:

  • Previous ‘Front of House' and administrative experience.
  • Strong interpersonal skills
  • Self-starter who can work with little to no supervision
  • Excellent Microsoft Office skills and proficiency with technology and systems.
  • Good understanding of health and safety requirements.
  • Experience in a similar role within a Corporate or Professional Services environment.
