Job Title: Administrator

Location: Ipswich (IP1)

Salary: £23,500 to £24,295 dependent on experience

Hours: 37 per week (Monday to Friday, office hours only)

Length of the contract: Up to 6 months

Gi Group are now seeking to appoint an experienced Administrator to our Public Sector client based in Ipswich. The Administrator will provide an efficient, comprehensive, and effective support service to the Emergency Service Centre (ESC) and will assist the ESC Manager with the coordination, development, and implementation of initiatives.

Duties of the Administrator

  • To support the ESC in partnership working with external organisations, maintaining links, and facilitating joint working between council departments and agencies.
  • To provide administrative support and assist in delivering a range of specialist products, data provision, information gathering, and consultation processes to support the development of ESC initiatives or projects.
  • To undertake financial accounting and processing activities and ensure accurate and effective financial record keeping for the service. Monitor and maintain all budgetary, financial, and auditing systems.
  • To be responsible for controlling, amending, maintaining, and reviewing a variety of manual and computerised records, data, and filing systems to ensure that all customer information is accurate, current, and available as required.
  • To support the ESC Team to prepare and distribute publicity and promotional materials, book venues, arrange catering, prepare agendas, and take minutes at various community safety forums.
  • To attend and actively participate in open days, conferences, and consultation events and other public forums to promote the work of the HEARS service and associated projects.
  • To carry out clerical support functions on behalf of the ESC Team, including letter writing, arranging appointments and meetings, and producing reports as required.
  • Maintain the daily rota for Responders and ESC Officers and arranging cover for sickness and annual leave.
  • Ensure stock levels for alarm equipment, HEARS first-aid supplies, CCTV media, and stationery are maintained and faulty equipment is collected. Undertake standard routine safety checks on equipment.
  • Build effective relationships with the other team members, in order to ensure the effective delivery of key projects and objectives.

Role Criteria

  • Maths and English GCESs or proven organisational knowledge and experience of administration within a community safety or protection environment.
  • Experience of working in an administrative support or project support environment.
  • Experience of dealing with finances including invoices and keeping financial records.
  • Ability to listen to, identify, and solve complex queries and problems for customers.
  • Ability to obtain information from people who are vulnerable or upset and use it to make accurate assessments.
  • Knowledge of community safety and local government experience.
