Job role: Property Management Administrator

Salary: £30-£34k dependant on experience

Location: City of London

Working Hours: Monday to Friday / 09:00 - 17:30

Contract: Permanent

This person will provide professional and efficient administrative support reporting to the Residential Lead and working alongside Residential Property Managers to deliver exceptional and consistent Service. The main responsibilities of the role include:

  • Managing correspondence, including answering and directing phone calls, emails, letters, and packages.
  • Organising meetings, taking minutes, scheduling appointments via outlook and zoom/teams.
  • Creating Resident communication and newsletters
  • Dealing with reasonable enquiries from clients, tenants, property managers, taking messages where required.
  • Coordinating and attending site Jobs for residents and contractors, chasing logged works, reports and repairs.
  • Logging insurance claims and following through with contractors, with guidance from property managers.
  • Assisting the Residential team with resident event planning, management and execution.
  • Assisting the team with marketing collateral.
  • Logging reactive maintenance enquiries and passing them onto maintenance.
  • Supporting and guiding the concierge team, including recording procedures to empower team members.
  • Co-manage the help desk e-mail account
  • Other duties as assigned.

Who are we looking for:

  • Excellent communication skills to effectively deal with all the stakeholders.
  • Excellent administrative and organisational skills.
  • The ability to prioritise tasks and remain calm under pressure.
  • The ability to work with others and work independently.
  • Good customer service skills and a friendly, polite disposition
  • Experience maintaining and managing a manager's calendar.
  • Sound knowledge of computer systems and relevant software programs
  • Fluent English speaking and writing skill.
