Recruitment Compliance Coordinator / Operations Assistant

Job Overview

Aspire Rec2Rec are seeking a highly organized and detail-oriented Operations Assistant / Compliance Coordinator to join our clients dynamic team. This role is essential in supporting the day-to-day operations and ensuring compliance with relevant regulations and internal policies. The ideal candidate will have a background in administrative support, compliance, and a strong understanding of the recruitment industry.

Key Responsibilities

Operations Support:

  • Assist in the daily operations of the recruitment agency, ensuring smooth workflow and efficient processes.
  • Maintain and update internal databases and systems with candidate and client information.
  • Coordinate and schedule meetings, interviews, and other agency events.
  • Prepare and distribute internal and external communications, including reports, newsletters, and marketing materials.
  • Handle general office duties such as answering phones, responding to emails, and managing office supplies.

Compliance Coordination:

  • Ensure all candidate and client documentation is complete, accurate, and up to date, in line with legal and company requirements.
  • Conduct regular audits of compliance-related documentation and processes.
  • Stay current with changes in employment laws and regulations affecting the recruitment industry.
  • Train staff on compliance policies and procedures, and provide ongoing support to ensure adherence.
  • Liaise with external auditors and regulatory bodies as needed.

Administrative Support:

  • Provide administrative support to the Operations Manager and other senior staff.
  • Assist with the preparation of reports, presentations, and other documents.
  • Manage and organize digital and physical filing systems.
  • Support the development and implementation of operational policies and procedures.

Qualifications and Skills

  • Minimum of 2 years of experience in an administrative, operations, or compliance role, preferably within the recruitment or staffing industry.
  • Strong understanding of compliance regulations in the recruitment sector.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with recruitment software or CRM systems.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
  • High level of integrity and professionalism.

Preferred Qualifications

  • Experience with compliance audits and reporting.
  • Familiarity with GDPR and other data protection regulations.
  • Certification in compliance or a related field.
