Aspire Rec2Rec are seeking a highly organized and detail-oriented Operations Assistant / Compliance Coordinator to join our clients dynamic team. This role is essential in supporting the day-to-day operations and ensuring compliance with relevant regulations and internal policies. The ideal candidate will have a background in administrative support, compliance, and a strong understanding of the recruitment industry.
Key Responsibilities
Operations Support:
- Assist in the daily operations of the recruitment agency, ensuring smooth workflow and efficient processes.
- Maintain and update internal databases and systems with candidate and client information.
- Coordinate and schedule meetings, interviews, and other agency events.
- Prepare and distribute internal and external communications, including reports, newsletters, and marketing materials.
- Handle general office duties such as answering phones, responding to emails, and managing office supplies.
Compliance Coordination:
- Ensure all candidate and client documentation is complete, accurate, and up to date, in line with legal and company requirements.
- Conduct regular audits of compliance-related documentation and processes.
- Stay current with changes in employment laws and regulations affecting the recruitment industry.
- Train staff on compliance policies and procedures, and provide ongoing support to ensure adherence.
- Liaise with external auditors and regulatory bodies as needed.
Administrative Support:
- Provide administrative support to the Operations Manager and other senior staff.
- Assist with the preparation of reports, presentations, and other documents.
- Manage and organize digital and physical filing systems.
- Support the development and implementation of operational policies and procedures.
Qualifications and Skills
- Minimum of 2 years of experience in an administrative, operations, or compliance role, preferably within the recruitment or staffing industry.
- Strong understanding of compliance regulations in the recruitment sector.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with recruitment software or CRM systems.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- High level of integrity and professionalism.
Preferred Qualifications
- Experience with compliance audits and reporting.
- Familiarity with GDPR and other data protection regulations.
- Certification in compliance or a related field.
