My client is seeking an entry-level conveyancing assistant to join their Residential Property team. This role is ideal for a committed individual who enjoys residential property work and thrives in a busy administrative support role. The successful candidate will be a key part of the team, providing essential support to ensure the smooth running of their conveyancing processes.

Day to Day of the role:

  • General administration including producing letters and documents using Case Management and IT systems.
  • Opening new files for fee earners and providing quotes to prospective clients.
  • Handling client enquiries and receiving instructions, ordering searches, and requesting redemption figures.
  • Submitting electronic ID checks and reviewing source of funds information.
  • Preparing draft contract packs and requesting additional documentation from clients.
  • Proactive diary management, including making appointments, prioritising, and arranging meetings.
  • Processing daily emails, post, and voice messages on behalf of the fee earner.
  • Filing, photocopying, preparing cheques, faxing, and managing DX & post.
  • Meeting with clients face to face to administer and progress matters as instructed.
  • Updating clients on the progress of matters via phone, email, and face to face.
  • Billing for work done on clients' behalf and liaising with the finance department as instructed.
  • Ensuring high-quality communication with internal teams and individuals.
  • Reporting faulty equipment/software and attending relevant team meetings.
  • Participating in other activities and projects as required.

Required Skills & Qualifications:

  • Experience in customer facing, administrative role
  • Proficiency in administration tasks, including typing standard letters, providing quotes, and general client information.
  • Strong compliance ethic and experience working within a solicitor's practice.
  • Confidence with Case Management and Microsoft suite (Outlook, Windows 10).
  • Excellent verbal communication skills and the ability to manage changing priorities under pressure.
  • Well-organised with good attention to detail
  • Professional and confident in presenting a positive front-facing environment and building relationships with staff.
  • Ability to answer telephones, transfer calls, handle client queries, take messages, and make appointments.
