Job Description: Are you ready to take your career to the next level? We are on the hunt for a highly organised and proactive Contract Administrator to join their vibrant team. In this pivotal role, you will be the backbone of my client's operations, ensuring that everything runs smoothly and efficiently. From planning PPM tasks to coordinating sub-contractor visits, your expertise will be crucial in maintaining the seamless operation of their sites.

Key Responsibilities:

  • Strategic Planning: Plan PPM tasks in line with the yearly planner and advise on necessary changes to keep them ahead of the game.
  • Coordination Master: Arrange and schedule sub-contractor PPM visits, ensuring all visits are perfectly coordinated with the Admin Team, Site Manager, and Contracts Manager.
  • Quality Control: Manage sub-contractors' visits and paperwork, ensuring compliance with company instructions and maintaining pristine work areas.
  • Overtime Management: Schedule and manage overtime for out-of-hours work, ensuring all reports are completed and submitted on time.
  • Information Hub: Provide accurate and timely information to the Contracts Manager and Office.
  • Task Monitoring: Keep a close eye on engineer reactive works and liaise with the Contracts Manager on outstanding tasks.
  • Documentation Expert: Ensure all site paperwork, including eLogbooks and CAFM systems, are up to date.
  • Mentorship: Assist with the onboarding and training of new engineers, improvers, and apprentices.
  • Meeting Attendance: Be present at site and company meetings as required.
  • Professional Representation: Maintain a professional appearance and adhere to our Health and Safety Policy.

Qualifications:

  • Proven experience in a similar role within the building maintenance industry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in using CAFM systems and other relevant software.
  • Ability to work independently and as part of a team.
