I am looking for a Secretary to join one of our leading defence clients in Filton.
As a secretary, you will be providing full secretarial/admin support to Head of Design and Head of Stress teams and their first reports.
Role Responsibilities
- Diary management including UK and transnational requests and requests from external suppliers. Define and anticipate needs when possible, organise / plan meetings align with other assistants (stakeholders, functions)
- Approve My HR requests on behalf of the Head of Design (time/holiday)
- Pro-actively book travel in a timely manner for the Head of Design / Head of Stress (and first reports if required) and ensure a pack for each trip includes an itinerary.
- Submit expenses for Head of Design / Head of Stress and are submitted in a timely manner.
- Approve expenses on behalf of Head of Design / Head of Stress
- Assist in the organisation of Design and Stress team booster events, including involvement with input for workshops, planning etc. Be able to arrange quotes and create purchase orders.
- Set up the calendar for all regular Design and Stress meetings, including transnational locations where required.
- Set up regular 1-1 meetings for Head of Design / Head of Stress and his direct reports (recognising the transnational team).
- Assist in the Design Engagement Ambassadors team, help facilitate activities.
- Assist in the management of the Design website. Keep information up to date.
- Cover for 1AWx secretaries during absences
- Define and anticipate needs when possible organize / plan meetings align with other assistants (stakeholders, functions) manage MoM (e.g. follow up communication, actions), keep distribution lists updated
- Office focal point for IT and facility management Support in organization of events, weblives Handle relevant logistics for the team (office supplies).
Typical Knowledge, Skills and Qualification Requirements
- Strong Administration background
- Ability to work at a fast pace, sometimes working under pressure to challenging deadlines whilst maintaining the highest standards of accuracy
- Excellent interpersonal, teamwork and communications skills
- Self-motivated, enthusiastic team player with a positive ‘can do' attitude
- Strong attention to detail
- Ability to prioritise and organise own workload
- Personal credibility and professional confidence
- Ability to build excellent relationships
- Intermediate IT skills, in particular MS Word and MS Excel and knowledge of MS Access
- Minimum 4 GCSE's at Grade C or above including Mathematics and English
