The Opportunity

A highly responsible and visible role has arisen with our client, a boutique, private client Wealth Management firm, a well established business with a loyal client base and a well-deserved high reputation. Working for a small team of advisers as part of a wider team including a para-planner and administrator, this is a varied role that will require a hardworking and dedicated person who understands the importance of an administration role in the processing of financial products and services.

The individual will oversee the administrative operations within the business, ensuring that the team provides exceptional support to clients and financial advisers. This role involves managing the administration team, streamlining processes, and maintaining compliance with regulatory standards.

This role is suitable for someone who wishes to remain in a varied administrative/operation role and the ideal candidate will be a detail-oriented individual with a passion for financial planning and client service.

They will have a track record of improving processes and leading a team to deliver high-quality administrative support. They should have a strong knowledge of the financial planning process to be able to work independently on projects and identify issues.

The Role

As the Senior Financial Administrator/Manager, duties will include (but are not limited to):

Reporting into directors of the business & to the wider team

Managing the client journey from start to finish in a timely and compliant manner, showing understanding and compassion toward the client at all stages of the investment and protection processes.

Responsibility for and managing the Annual Planning and Review process.

Processing, submitting and recording all business, ensuring all appropriate systems are kept up to date.

Ensuring all customer communication is handled appropriately and in line with both internal procedures and those governed by the network

Completing and understanding all paperwork including prepopulating documents on the client's behalf, where appropriate.

Assisting the adviser(s) / para-planner prepare for client meetings as required ensuring all necessary documentation is available to them and recorded appropriately.

Ongoing review and project management of client cases and process, liaising with other members of the team and adviser to ensure cases stay on track.

Providing technical support and training to junior members of the team.

Peer review colleague work, including new applications and fund switches.

Committing to continuous personal development and stay updated with industry changes.

Overseeing the onboarding process for new clients, from initial contact to investment.

Developing a strong understanding on the systems used, how they fit into the process and where improvements can be made.

Reporting accurate and timely information back to the adviser(s), team members, clients, providers and the business as appropriate, including MI reporting, email communications, telephone conversations and letters.

About you

As an experienced Financial Administrator/Manager you will possess the following:

Significant Wealth Management administration experience and knowledge of all relevant processes.

The ideal candidate will be a detail-oriented individual with a passion for financial planning and client service.

You will have a track record of improving processes and leading a team to deliver high-quality administrative support. You should have a strong knowledge of the financial planning process to be able to work independently on projects and identify issues.

As the role involves communicating with clients and product providers, strong written and verbal communication skills are crucial as well as excellent punctuality

You will have good knowledge of current FCA regulatory requirements.
