Our client, a dynamic and successful company based in Southend, is seeking a Senior Office Administrator to provide exemplary administration support. If you have a passion for delivering exceptional service and thrive in a fast-paced environment, this role could be perfect for you!

Duties

  • Manage the diary of the Managing Director, ensuring appointments are scheduled efficiently
  • Reconcile the monthly company phone bill, maintaining accurate records
  • Assist the Operations Supervisor with ongoing projects and tasks
  • Complete expenses for Directors and senior staff, ensuring accuracy and timeliness
  • Keep the Gift and Hospitality spreadsheet up to date, ensuring compliance with company policies
  • Act as the point of contact for general office duties, including meeting room bookings and welcoming clients
  • Maintain the reception area and communal spaces to a high standard
  • Organise and manage utility contracts, liaising with contractors as required
  • Update the company handbook and other internal documents, ensuring accuracy and relevance
  • Take responsibility for company archiving, ensuring documents are stored and retrieved efficiently
  • Manage company car duties and policies, including organising maintenance and servicing
  • Arrange lunches and refreshments for meetings, ensuring a professional and welcoming atmosphere
  • Administer stationary orders for the London and Southend teams, ensuring adequate supplies
  • Support general office management duties for both the London and Southend offices
  • Relay building problems or changes to the building manager, maintaining a safe and comfortable environment
  • Provide necessary reports to accounts, including End of Month Paper, Ink, Post, and Petty Cash reports
  • Assist with SharePoint development, testing, and design, contributing to ongoing improvements
  • Handle scanning, photocopying, binding, and franking as required
  • Introduce new starters to the London office, providing office tours and a warm welcome
  • Organise seasonal gifts on behalf of brokers, adding a personal touch to client relationships
  • Undertake ad hoc project work as assigned, utilising your skills and expertise
  • Manage company letting properties, liaising with tenants, contractors, and handling tenancy agreements

The ideal candidate

  • Good IT skills, particularly in general office software applications
  • Strong organisational skills, ensuring accuracy and attention to detail
  • Strong knowledge of Microsoft products (Word, Excel, and Outlook)
  • Excellent time management and prioritisation skills
  • The ability to meet deadlines without compromising quality
  • Strong oral and written communication skills, allowing for effective and professional interaction with clients, insurers, and associates
