We have an opportunity available with a valued client of ours that sits within their sales and admin team. The business is growing and is a very well-known brand.

The main purpose of the role is:

This key role within the Products Sales team is to provide support in processing orders and coordinating logistics to manage the shipping in and out of goods. The role involves regular contact with overseas suppliers, shipping agents and customers. Responsibilities will be structured around regular duties and deadlines that will be set by the Sales Director or the shipping process.

General Duties:

  • Process sales orders provided by the Sales team and liaison with Manufacturing and factories as to availability of goods and ensuring price is correct.
  • Coordinate quality control documentation and other paperwork associated with processing orders.
  • Ensures that order changes are properly made on all paperwork and communicated to all necessary parties.
  • Liaising with the sales support team to ensure clear communication on the customers status.
  • Oversee the levels of our warehouse stock and place orders as needed.
  • Manage and build relationships with 3rd party freight providers to ensure on-time deliveries and low-cost rates.
  • Dealing with shipping of goods for customers in UK and abroad, producing necessary paperwork and liaising with customers, transport companies and warehouses. Including goods to be shipped from other countries. Issuing all documentation required for overseas shipment.
  • Managing the satisfactory release of goods from that point on, systemising the orders and maintaining internal priority and shipping files. Control release of goods dependant on customer payment or account situation.
  • Respond effectively to incoming telephone calls and emails with appropriate follow up to ensure customer service.
  • Producing an accurate stock and back-order report for the Sales team every week.

The Person:

  • 2-3 years of Admin experience within sales, logistics, or shipping.
  • International shipping experience.
  • Good knowledge of Microsoft Word, Outlook, and in particular a very good standard of Excel.
  • Confident in dealing with customers and maintaining relationships.
  • High levels of accuracy and excellent written and verbal communication skills.
  • Thrives under pressure.
  • Demonstrable problem-solving skills.
  • Ability to deal with people at all levels within business and combat multiple issues simultaneously.
