industry body associated with the creative and entertainment industries are looking for an experienced Executive Assistant/ Office Manager due to a period of change and growth. This is initially a 3 to 4 month contract with a view to going permanent. This role will report to 2 directors and work closely with the senior management team.
Key responsibilities include, but are not limited to:
Executive Assistant
- Complex diary management for a number of directors and senior management - making sure to take in to account conflicting and demanding schedules.
- Screening telephone calls and emails.
- Preparing reports and PowerPoint presentations.
- Arranging travel and handling Expenses.
- Acting as the main point of contact for the Senior Management team in a professional manner
- Facilitate cross-departmental communications and meetings.
- Minute taking, preparing packs and arranging meeting rooms - for internal and external meetings.
- Project implantation and management.
- Maintaining company records, filing and archiving systems.
Office /Operational Management
- Liasing with and acting as the first point of contact for Staff and visitors.
- Answering the switchboard, maintaining company inbox and providing general office support.
- Manage meeting room booking system.
- Office Health and Safety process and procedures.
- Ensuring office IT equipment and Telecoms are up to date and suitable.
- Manage complaints process.
- Keeping all stationary, office equipment and supplies up to date and available.
Essential Skills and Experience
- Proven experience in support of Senior Management - including company directors.
- Exceptional organisational skills
- Extensive diary and email management
- Exceptional communication skills
- Advances knowledge of Microsoft Office Suite
- Experience of managing a busy office alongside support for senior management.
- Confidentiality and discretion.
