Executive Assistant / Office Manager

industry body associated with the creative and entertainment industries are looking for an experienced Executive Assistant/ Office Manager due to a period of change and growth. This is initially a 3 to 4 month contract with a view to going permanent. This role will report to 2 directors and work closely with the senior management team.

Key responsibilities include, but are not limited to:

Executive Assistant

  • Complex diary management for a number of directors and senior management - making sure to take in to account conflicting and demanding schedules.
  • Screening telephone calls and emails.
  • Preparing reports and PowerPoint presentations.
  • Arranging travel and handling Expenses.
  • Acting as the main point of contact for the Senior Management team in a professional manner
  • Facilitate cross-departmental communications and meetings.
  • Minute taking, preparing packs and arranging meeting rooms - for internal and external meetings.
  • Project implantation and management.
  • Maintaining company records, filing and archiving systems.

Office /Operational Management

  • Liasing with and acting as the first point of contact for Staff and visitors.
  • Answering the switchboard, maintaining company inbox and providing general office support.
  • Manage meeting room booking system.
  • Office Health and Safety process and procedures.
  • Ensuring office IT equipment and Telecoms are up to date and suitable.
  • Manage complaints process.
  • Keeping all stationary, office equipment and supplies up to date and available.

Essential Skills and Experience

  • Proven experience in support of Senior Management - including company directors.
  • Exceptional organisational skills
  • Extensive diary and email management
  • Exceptional communication skills
  • Advances knowledge of Microsoft Office Suite
  • Experience of managing a busy office alongside support for senior management.
  • Confidentiality and discretion.
