We're thrilled to share a fantastic opening for an Office Support Business Partner with our client, a global insurance powerhouse rooted in strong local knowledge. Based in London, they're renowned for delivering tailored (re)insurance solutions worldwide.

This dynamic Office Support Business Partner willreport directly to their Chief Operating Officer, to provide a high-quality, support service across the Group and within the office operation, ensuring a clean, organised, and efficient work environment

The role

  • To uphold, and develop where necessary, effective office processes, ensuring

compliance, and developing a culture of operational excellence

  • To be the primary point of contact for all office/administrative/marketing related

queries, working pro-actively and collaboratively with different departments to

facilitate smooth communication and operations

  • To develop and manage the Group's strategic marketing and business development

plans, including to produce, promote and manage all company marketing materials

and social media platforms

  • To build and maintain relationships with external stake holders
  • To ensure that all business handled is in adherence to all internal compliance and

external regulatory requirements

  • To maximise the efficiency of all internal and external IT and/or manual systems.

Key Accountabilities |Office responsibilities

  • Office management duties including, but not limited to; facilities management, IT

support and printing services, telephone and internet services, office and catering

supplies, liaising with the landlord and coordinating general building maintenance.

  • Manage team meetings and schedules, co-ordinate meeting agendas and minutes, and

arrange approved travel.

  • Handle all incoming calls for the Company, in a polite and professional manner,

directing as appropriate

  • Professionally greet and direct all visitors to the office, providing catering support for

meetings where required

  • Maintain accurate and up-to-date records, databases, and filing systems, ensuring

adherence to compliance and maximising operational efficiencies.

  • Ensure that all areas of the office are maintained to a high standard of tidiness and

cleanliness including all company meeting rooms.

  • Ensure office equipment is properly maintained and serviced.
  • Ensure that the kitchen/breakout areas are adequately stocked at all times
  • Support HR with effective onboarding and offboarding processes, in respect of IT and

DSE setup

  • Arranging couriers, assisting with post and distribute accordingly
  • Organising and booking company events and conferences
  • Support employee engagement initiatives by keeping accurate records of Birthdays

and Work anniversaries and arranging E-Birthday cards and gifts for occasions

  • Assisting with compiling and preparing reports, presentations and correspondence
  • Sourcing office equipment, as required, supporting HR and Compliance matters, as required
  • Scan and electronically file documents, as required
  • Maintain effective systems to monitor and reorder stationery
  • Support office Health and Safety requirements ensuring compliance within activities
  • Maintain and develop the Office Management Handbook, ensuring processes,

contacts and routines are well documented

Marketing responsibilities

  • Develop strategic marketing / business development plans across the Group to grow

their UK and international business with existing and new producers/clients

  • To identify, promote and establish both digital and in person engagement

opportunities to support business growth

  • Organising, producing and managing all website, marketing materials and social media

content

  • Researching and sharing relevant insurance articles/market views on social media

platforms

  • Developing and managing distribution of company presentations, reports and

newsletters

  • Developing and implementing market campaigns to generate new business leads for

direct clients

  • Finding insurance networking events and preparing teams for participation at

conventions and online events

  • Contributing to the company's ongoing strategy development and planning
