Duties

  • Develop/maintain robust administrative processes and provide a high-quality administrative service
  • Organise diaries and schedule appointments for the Company Secretary and the Deputy Company Secretary
  • Handle incoming telephone calls in an efficient and courteous manner
  • Develop and maintain an effective filing system (both for hard copy documents, and electronic correspondence), being able to retrieve requested files and documents with minimum delay.
  • Assist the Deputy Company Secretary and Company Secretary in the Secretariat function including supporting the preparation of the group company boards and group governance committees, and ensuring the timely submission of reports to the boards and Executive committee as required.
  • Organise and where required attend group company boards and committee meetings, as appropriate, ensuring accurate minutes are taken and reported and ensuring actions are delivered.
  • Support the Deputy Company Secretary with legal and regulatory changes in key areas and provide advice and assistance to the group company boards and senior managers on key issues.
  • Support the Secretariat function to ensure that corporate filings with regulatory bodies (e.g. Companies House) are kept fully up to date.
  • Assist in managing the collation and administration of internal compliance guidelines, tool-kits, and packaged knowledge on various legal issues including anti-bribery, data protection and competition law
  • Prepare written correspondence, demonstrating a high standard of English and skilled use of Word and PowerPoint (MS Office)
  • Arrange travel and accommodation as required.
  • Organise various internal and external meetings e.g., sourcing and booking venues
  • Acting as a focal point for queries regarding day-to-day office procedures, including liaising with facilities around office facilities to support the Legal Department.
  • Develop effective working relationships with internal and external contacts.
  • Organise meetings of the Legal Department including sourcing and booking venues where required, arranging catering, sending invites, and ensuring the smooth running of team events.
  • Act in a way that people understand and that requests for information / actions are structured and clear
  • Provide administration support to the Legal Director & Company Secretary on an ad-hoc basis relating to Co Sec activities

The requirements

  • Degree educated
  • Experience in governance/company secretary admin/assistant role
