Work Timetable: 4 days in-office, 1 day WFH

Job Summary:

A dynamic organization in Reigate seeks a Business Support / Operations Assistant to ensure the seamless operation of their office. The successful candidate will undertake a range of administrative and operational tasks to support the senior management team. The organization requires an individual who is exceptionally organized, detail-oriented, and capable of managing multiple tasks in a fast-paced setting.

Key Responsibilities:

1. Administrative Support:

  • Handle general administrative responsibilities such as answering phones, managing emails, filing, and data entry.
  • Aid in the preparation and delivery of regular reports to senior management.
  • Develop and oversee a comprehensive electronic filing system.
  • Organize and facilitate company events and meetings, including the creation of slide presentations.

2. Scheduling and Coordination:

  • Arrange meetings, appointments, and travel plans for managers and staff.
  • Prepare and circulate meeting agendas and minutes.

3. Data Management:

  • Enter and update information in various systems, prioritizing accuracy and confidentiality.
  • Provide database support to the distribution team, managing product orders, and customer invoicing.

4. Operational Support:

  • Implement and manage office procedures and systems.
  • Oversee inventory and the procurement of office supplies.

5. Customer Service:

  • Act as a secondary liaison for internal and external inquiries, ensuring professional and positive interactions.

6. Special Projects:

  • Take part in special projects and carry out additional responsibilities as directed by the Commercial Director.

Qualifications:

  • Experience: At least 1-2 years in an administrative or operations capacity.

  • Skills:

  • MS Office suite.

  • Outstanding organizational and multitasking skills.

  • Excellent communication abilities, both in writing and speaking.

  • A sharp eye for detail and strong problem-solving skills.

  • The ability to work independently and collaboratively.
