School Office Manager

A new and exciting Office Manager for a school in North West London has arisen.

As the School Office Manager your responsibility is:

  • To lead administrative support for the school.
  • To oversee the front office function of the school.
  • To line manage the finance assistant/receptionist.
  • To lead HR and Recruitment functions across the school.
  • To support the School Business Manager with finance requirements.

Main Responsibilities and Duties:

  • To manage the schools email inbox
  • To deal with student and staff absences
  • Work closely with the admissions officer
  • To identify, update and create effective administrative processes as required
  • Act as receptionist so answering the phones
  • Ensuring school secruity arrangements are always complied with
  • To act as the lead fire marshall
  • To monitor the stock levels and ordering of admin supplies
  • Line manage 1 junior team member and train accordingly
  • To ensure all staff records and maintained accurately and completed
  • To monitor staff attendance
  • To support the School Business Manager and Headteacher with general HR advice
  • To take control in the recruitment for the school making sure documents and compliance are up to date
  • Preparing and issuing staff contracts
  • To ensure relevant staff members complete new starter processes
  • To support the Finance Assistant
  • To identify missing invoices and action
  • Attend and participate in relevant meetings as and when required

As you will see this is a busy and varied position where no two days are the same. The above list is not an exhaustive list of duties and responsibilities and may be subject to amendments to take account of changing circumstances.

Skills and experience needed:

  • Good written and communication skills
  • Be methodical, calm and composed and thrive in a fast paced environment
  • Have excellent ICT skills
  • Have experienced in an education setting
  • Be flexible and open to change

This is an office based position Monday - Friday 8.00-4.30pm. This is term time only plus 3 weeks.
