Office Manager

Our client, a wholesale distributor, is seeking a dynamic and organised Office Manager to join their team in Verwood.

The successful candidate will play a crucial role in overseeing various managerial, project-based, day-to-day tasks and support a small team of Sales Administrators.

Key Responsibilities of the Office Manager:

Managerial:

Recruit, train, and mentor team members and ensuring the phone lines are covered.

Monitor and record annual leave and absence.

Inclusion in company, sales, and operations meetings.

Ensure month-end invoicing is completed in a timely manner.

Liaise with the software company to address issues, perform maintenance, and implement new functions when necessary.

Project Based:

Understand and oversee tender contracts and extra-curricular customers (2, 3 accounts).

Oversee customer consignment stock.

Maintain showroom and ensure its proper maintenance.

Run regular and ad hoc reports, including sales value and volume, stock status, back orders, stock clearance, and margin-related reports.

Tasks:

Oversee administration of price changes, such as customer order updates.

Create and maintain trade price lists by brand.

Monitor and understand bespoke system elements, e.g, Automatic customer invoicing.

Be aware of inbound brand deliveries, running and preparing a report on new available customer orders.

Handle all inquiries and reservations related to hotel accommodation, including obtaining corporate rates, and dinner reservations.

Oversee office phone group maintenance, including managing out-of-hours messages.

Ensure various Sales Office Administrator reports are run and those for other departments are processed where applicable.

Ensure all sales order processing and customer account maintenance are met.

Answer customer, consumer, and brand inquiries.

Ensure the daily system backup is run.

Strong communication and interpersonal abilities.

Attention to detail and ability to multi-task.

Proficiency in using relevant software and systems.

Knowledge of sales processes and customer service.
