Customer Services & Resources Administrator

Our client is recruiting a highly skilled individual to be the first point of contact for individuals contacting the organisation, routing calls to the correct colleague, e.g. helpdesk, HR, schemes etc.

This individual will act as the liaison between the outsourced finance function and internal colleagues for finance administration, e.g. invoices, expenses, bank mandates etc.

They would support the Head of People and Resources in supplying staff with resources enabling them to fulfil their role with such equipment as:

Computer equipment

Phones

Stationery

Software access

Uniforms

Post and other communication

  • Assisting the HR team with recruitment advertising, managing candidates, agencies, collating information, maintaining recruitment and other statistics for the team.
  • Assisting with updating the website and social media posts as required, as well as other communication.
  • Assisting with mail distribution, meeting arrangements, catering services, diary management, and other administrative duties as required.

Key responsibilities:

Administration

  • Answering telephone & dealing with general enquiries
  • Provide office administrative support for the People and Resources function.
  • Support the recruitment processes for the HR team.
  • Respond to communications received, ensuring compliance with GDPR regulations.
  • Inputting accurate data and information onto Iris and other systems.
  • Making up recruitment packs and assisting the Head of People and Resources with communications to staff, e.g. notices, staff forum, newsletter
  • Managing ordering of computer and phone equipment, ensuring smooth office operations e.g. printer inks, office stationery.
  • Any other ad hoc administrative duties required.
  • Providing an excellent and responsive service to staff.

Experience

  • A level education
  • Experience in administrative roles.
  • Experience in managing office resources such as computer equipment, phones, stationery, etc.
  • Experience in handling telephone enquiries and routing calls.
  • Experience in updating websites and social media posts.

Knowledge and Skills

  • Proficiency in using Microsoft; Outlook, Word, PowerPoint, & Teams.
  • Strong administrative skills with attention to detail.
  • Strong communication skills, both written and verbal.
  • Strong ability to plan and prioritise own work.
  • Effective Decision-making.
  • Excellent verbal and written communication skills.
  • Able to meet tight deadlines.
  • High level of numeracy and literacy.
  • Respect for confidentiality and commitment to GDPR compliance.
