This client is a top 5 tech giant with a global retail operation, video streaming platform, and has a big imprint in web services. This is a hybrid role, so you will split your time between home office and the clients offices in central London. On-site you will be able to access their amazing facilities and quirky working spaces.

Job Description:

Advertising Sales is looking for an exceptional Executive Assistant to support two Directors in a fast-paced team. This exciting role requires flexibility, a strong business acumen in addition to superior attention to detail, the desire to learn and a good sense of humour.

The individual in this role will be detail orientated, have solid organisational skills, and the ability to meet tight deadlines while juggling multiple requests across global teams. You will be an experienced planner, understand business priorities, demonstrate the ability to anticipate needs and drive improvements.

The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture. We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking and a creative problem solver. They constantly seek out areas of improvement and work to find solutions. They are not content with the status quo and aim to invent and simplify processes and programs. This person will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives.

This position will work closely with a team of Executive Assistants to facilitate key team activities and projects. The ability to work independently and collaboratively with a strong sense of ownership, bias for action, and customer obsession is highly valued.

Key Responsibilities Include:

  • Management of complex calendars and prioritisation of activities; proactively identifying and resolving scheduling conflicts
  • Manage domestic & international travel itineraries and expenses
  • Managing large event logistics, catering, accommodations, and materials (e.g., off-sites, All Hands events, etc.)
  • Attending key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items
  • Driving team activities (e.g., staff meeting agendas, weekly business reviews, All Hands events, and team-building events)
  • Create strong partnerships with business partners
  • Anticipate challenges and plan ahead accordingly to develop long term schedules and identify priorities and due dates for the teams

Basic Qualifications:

  • Minimum of 2 years of experience as an Executive Assistant or Personal Assistant at a Senior level
  • Experience with domestic and international travel & expenses
  • Excellent communication (written and verbal) and interpersonal skills
  • Able to work efficiently and accurately when under pressure to meet tight deadlines
  • Experience with Microsoft Office Products, Outlook, Word, Excel & PowerPoint

Preferred Qualifications:

  • Minimum of 3 years of experience assisting at the executive level in a fast-paced environment
  • Creative problem solver
  • Demonstrated ability to prioritise and handle multiple assignments while maintaining commitment to deadlines and long-term goals
  • Desire and aptitude for learning new concepts on the job
  • Ability to work in a highly ambiguous environment
