We are seeking an Operations Assistant to manage the imports and exports of worldwide shipments and cross trade consignments. The role is pivotal in ensuring customer satisfaction and strict compliance with export and shipping regulations.

Day to Day of the role:

  • Delivering excellent customer service to our on-site customer.
  • Preparing shipping/transport quotations and booking dispatches with hauliers, forwarders, dispatch depots, and shipping lines.
  • Creating invoices, packing lists, collection/dispatch notes, and any other related export documentation required for export dispatches.
  • Entering bookings into our bespoke shipment software and managing specific projects.
  • Expediting shipments, processing supplier and customer invoices, and ensuring costs are correct on the bespoke software.
  • Answering telephone calls, expediting orders and shipments, and dealing with inter-company and external queries.
  • Reporting and escalating issues to the Manager as required.

Required Skills & Qualifications:

  • Good educational background.
  • Knowledge of shipping methods and terminology.
  • Understanding of a logistics business and Incoterms 2020.
  • Experience in an Operations Assistant role within a freight forwarding environment.
  • Intermediate experience of MS Office programs.
  • Proven customer service experience.
  • Excellent numeracy, communication, and interpersonal skills.
  • High level of accuracy and attention to detail.
  • Strong administration skills and teamwork ethic, with the ability to work independently when required.

Desirable:

  • Experience of all modes of transport, export and import, and knowledge of customs procedures.
  • Time management skills and ability to stick to deadlines.
  • Ability to plan and prioritise workload.
  • Tenacity and problem-solving skills.

Personal Qualities Required:

  • Ability to build relationships with suppliers and customers.
  • Professional attitude and telephone manner.
