An exciting opportunity has arisen for a highly skilled Executive Assistant to join a leading global financial services firm. This is a float role within the Investment Banking Division, based in the vibrant location of Canary Wharf, London. The position offers an attractive salary of £28.38 per hour and the flexibility of hybrid working with four days in the office. This is a contract role with a duration of 12 months, offering the potential for extension. The successful candidate will have the chance to work in a fast-paced environment, providing efficient service to senior bankers and building relationships both domestically and internationally.

What you'll do:

As an Executive Assistant in this float role within the Investment Banking Division, you will be at the heart of operations. Your day-to-day responsibilities will include providing professional assistance to senior bankers, managing business schedules, arranging meetings and coordinating travel arrangements. You will also be responsible for processing monthly expenses using Firm systems such as Concur and maintaining the in-house CRM system. Additionally, you will manage various events and provide phone cover for Bankers outside your designated team when required. This role requires excellent organisational skills, attention to detail and the ability to thrive in a fast-paced environment.

  • Provide professional assistance to senior bankers in a Float EA capacity within the Investment Banking Division.
  • Maintain extensive verbal and written interaction with internal colleagues and external clients, ensuring relationship building both domestically and internationally.
  • Manage business schedules exclusively, acting as 'gatekeeper' for diaries.
  • Arrange internal and external meetings, video calls and phone calls.
  • Proactively book and coordinate all travel arrangements including flights, hotels, visas, currency and ground transportation.
  • Process monthly expenses in a timely manner using Firm systems such as Concur.
  • Maintain in-house Client Relationship Management (CRM) system.
  • Manage events including closing events, social/team events etc.
  • Provide phone cover and support to Bankers outside of designated team when other members are out of the office.

What you bring:

The ideal candidate for this Executive Assistant role will bring a wealth of experience from a similar sector, preferably Investment Banking. You will have excellent time management skills and the flexibility to adapt in a fast-paced environment. Your ability to work effectively within a team and communicate articulately will be key to your success in this role. A proactive approach, initiative and ownership of tasks are essential qualities we are looking for. You should be highly organised, detail-oriented and maintain a professional manner at all times. Proficiency in Microsoft applications, particularly Outlook, along with experience in processing expenses online and using CRM systems is required.

  • Experience as an Executive Assistant within Investment Banking or similar sector is preferred.
  • Excellent time/priority management skills & flexibility.
  • Strong team player/buddy to other assistants in team.
  • Articulate, effective communicator with proactive 'can do' approach.
  • Ability to use own initiative and judgment while owning all tasks.
  • Highly organized & attention to detail with discreet, professional manner.
  • Good knowledge of Microsoft applications (Windows10), particularly Outlook.
  • Experience processing expenses online (e.g. on Concur).
  • Experience booking travel via an online booking tool.
  • Experience working with CRM systems.
