Vehicle Service Administrator

We pride ourselves on our exceptional customer service and we are currently seeking a highly organised and customer-focused Vehicle Service Administrator to join our friendly team.

Key Responsibilities include;

Customer Enquiries: Handle customer enquiries via phone, email, and website enquiry system with professionalism and efficiency.

Booking Appointments: Schedule MOTs, servicing, repairs, and diagnostics for customers' vehicles, providing estimates where possible. Create job cards using "Autowork" and allocate appointments to the digital diary.

Vehicle Drop-off: Check customer contact and vehicle details during drop-off, clarifying any special requests

Loan Vehicles: Manage the handover of loan vehicles, demonstrate specific features, complete loan car forms, and ensure proper documentation.

Daily Schedule: Organise the daily schedule, liaise with Technicians, delegate work based on skill set and timescales, and ensure efficient workflow.

Additional Work and Estimates: Advise customers on any additional work required, provide estimates and agree on costs and timescales.

Invoicing: Invoice jobs upon vehicle completion/collection, summarise the work carried out, collect payments, and secure completed invoices.

Parts Management: Pre-order parts, including service kits for the next day. For special order non-returnable parts, take deposit payments at the time of booking.

Job Card Preparation: Add pre-ordered parts to job cards before printing off job cards for the next day.

Parts Ordering and Returns: Manage parts ordering and returns throughout the day.

Diary Management: Print a copy of the daily diary for the next day for checking in purposes.
