Reporting to the Head of Programme Management, you will provide support to all workstreams and projects within the Digital Transformation Programme, ensuring they follow defined process and comply with the company policies. You will also support senior managers with administrative tasks

You will work cross functionally with a variety of stakeholders to ensure our projects are delivered on time, governed appropriately, and inspire others with your passion for being on the pulse with accurate management of information and attention to detail.

Project specific tasks:

  • Maintain up-to-date tracking of the programme and documents including risk logs and decision logs
  • Create and manage reporting schedules ensuring all reports are completed on time and of quality
  • Mnage the digital transformation inbox & calendar
  • Maintain the programme teams site, updating content, making improvements
  • Arrange inductions for all people joining the programme

General administration tasks:

  • Raise purchase orders and track invoices
  • Manage the scheduling of key governance meetings, making sure content is prepared in time and signed off
  • Schedule and co-ordinate key meetings and workshops cross functionally, including booking rooms, making sure the correct attendees are invited and agendas are in place
  • Compile and format data, and assist with the preparation of presentations and reports
  • Minute meetings and produce meeting outputs/actions
  • Proactively assist the team with ad hoc tasks as they arise
  • Organize team meetings, away days and events
  • Asist with travel bookings for Senior Managers
  • Maintain the holiday trackers for resources across the teams

What you'll need to have

  • Keen to get involved and bring new ideas to current ways of working - we are open to hearing all your wonderful suggestions for process improvements!
  • Excellent verbal and written communication skills
  • Great at building relationships - you will be working with many stakeholders and functions at one time
  • Numerical and analytical skills, with a keen eye for detail & data accuracy
  • Strong administrative, organisational and time management capabilities

It would be great if you also have

  • It would be beneficial if you have experience of using Microsoft applications including Teams, Excel, Power Point
