Executive Assistant

Robert Half Technology are assisting a market leading renewable energy organisation to recruit an Executive Assistant on a permanent basis based in their London office

Role

Administrative Support:

  • Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle confidential information with discretion and professionalism.

Meeting Coordination:

  • Organise and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Facilitate communication between the CEO and internal/external stakeholders.

Project Management:

  • Assist in the planning and execution of special projects and initiatives as directed by the CEO.
  • Conduct research and compile data to support decision-making and strategic planning.

Communication:

  • Act as a liaison between the CEO and other executives, employees, and external partners.
  • Screen and prioritize incoming communications, including emails and phone calls.

Travel Coordination:

  • Arrange detailed travel itineraries for the CEO, including flights, accommodations, and transportation.
  • Ensure all travel plans align with company policies and budget considerations.

Office Management:

  • Oversee office operations and facilities management to ensure a productive and efficient working environment.
  • Manage office supplies, equipment, and vendor relationships.

Event Planning:

  • Assist in organising company events, conferences, and team-building activities.
  • Coordinate logistics, including venue selection, catering, and participant communication.

Profile

  • The Executive Assistant will ideally have a bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar role, preferably within the renewable energy or related industry.
  • Exceptional organisational and time-management skills, with the ability to prioritise and multitask effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Demonstrated ability to handle sensitive and confidential information with discretion.
  • Excellent interpersonal skills and the ability to build relationships at all levels of the organisation.
  • Proactive and resourceful, with a problem-solving mindset and a strong attention to detail.
  • Flexibility to adapt to changing priorities and work under pressure in a fast-paced environment.
