Agency Operations Specialist - Marketing

About the role:

The B-Hive is an in-house creative agency bringing to life the creative needs of some of the most recognizable brands in the beauty industry including No7, Soap & Glory, Liz Earle and Boots own brand. We combine the capability of an external creative and production team, with the speed, flexibility, and in-depth brand knowledge of an in-house set-up, underpinned by years of experience dedicated to Boots and No7 Beauty Company.

The Agency Operations Specialist supports the Head of Agency Operations in managing multiple complex systems and processes that support the efficient operation of the B-Hive, its internal clients and other partner agencies. Most important of these are our work management and digital asset management systems, Adobe Workfront and AEM Assets. This role is embedded in the B-Hive and works closely with the creative, client management and operations teams to provide them with the systems and support they need

Day to day:

  • Front-line responsibility for administration, operation and training of the Adobe Workfront Work Management system.
  • Front-line responsibility for administration, operation and training of the Adobe AEM Assets & Brand Portal DAM
  • Creating and providing business reporting/weekly dashboard for the Lead Team and other teams
  • Responsible for creating, dissemination and enforcing clear standard on asset naming and metadata
  • Liaison with internal and external clients on use and interoperability with B-Hive systems
  • Operation, maintenance & training of other operational systems used by the B-Hive to deliver creative work
  • Liaison with IT, finance and other support teams on issues that affect B-Hive

What you'll need to have:

  • Ideally, administration or operational experience with Adobe Workfront or other work management systems
  • Deep understanding of business systems, both technical/admin and from a user PoV
  • Demonstrated technical competency with business system operations (eg: work management, project management, BI)
  • Logical structured thinker
  • Likely to hold a degree, or equivalent apprenticeship or experience in a technical, scientific, data, business field
  • Comfortable creating an appropriate level of structure in the unusual, fluid environment of a creative team/agency
  • Able to create, explain, document and train a wide range of users in required processes
