The

Office Manager

role ensures the smooth running of the Preston office on a day-to-day basis. The position involves providing comprehensive administrative support to the Directors and Business Support Manager, including acting as a PA to the Directors.

Role Overview

: This role is pivotal in maintaining office operations and supporting senior management. The

Office Manager

will handle a variety of administrative tasks, manage communication channels, and ensure a safe and efficient working environment.

  • Manage the day-to-day operations of the Preston office.
  • Answer incoming telephone calls with a professional manner.
  • Perform administrative duties such as scanning and creating/merging PDF documents.
  • Create and format documents for bids using Excel, Outlook, Word, and Publisher.
  • Manage incoming and outgoing post.
  • Support expense and receipt processing.
  • Assist with finance-related tasks including invoicing, debt management, and using Xero.
  • Book accommodation and travel for business needs.
  • Support staff with minutes, reports, and agendas.
  • Compile tender submissions and bids.
  • Prepare meeting rooms for client meetings and arrange refreshments.
  • Provide PA support to Directors.
  • Maintain a safe office environment and conduct regular reviews of Fire and Health & Safety, including Fire Alarm testing and Fire Drills.

£25K - £30K

Experience & Skills Required

  • Excellent business administrative experience and financial management skills.
  • Ability to use own judgement and initiative in responding to queries on behalf of senior management.
  • Exceptional communication skills, both written and oral.
  • Strong organisational skills and ability to prioritise workload effectively.
  • Confidence in dealing with people at all levels of the organisation.
  • Proficiency in MS Office.
  • At least three years of experience in a similar role.
  • Reliability and the ability to handle sensitive business information.
  • A business administration/management qualification is essential.
  • A driving licence and access to own car.
