Operations Administrator

We are seeking an Operations Administrator to join our team, responsible for managing all outbound operations in accordance with the company's policies and standards. This role is ideal for someone who is detail-oriented, efficient in handling logistics, and excellent at maintaining customer relationships.
Day-to-day of the role:
- Assist with all outbound operations, ensuring adherence to company policies and standards.
- Process sales orders from start to finish, including creating orders, allocating stock, booking transport, invoicing, and liaising with customers regarding amendments and delivery ETAs.
- Maintain and update accurate customer records and reports.
- Set up new customer accounts, perform credit control checks, and conduct credit reviews.
- Liaise with customers regarding their deliveries, sales orders, invoices, credits, and outstanding balances.
- Address errors proactively to maintain and improve client satisfaction.
- Ensure outbound shipments are picked up and dispatched by the scheduled time.
- Utilize haulage exchange effectively.
- Monitor and improve the costs of transport/logistics operations to ensure efficiency.
- Maintain healthy business relationships with all third-party logistics companies.
- Crosscheck all delivery sheets (PODs) to match sales orders/invoices for accurate posting.
- Work alongside the accounts team, providing necessary data such as transport costs.
- Maintain accurate financial records, including placing and processing purchase orders and reviewing purchase invoices.
- Perform reconciliation of supplier statements and online selling platforms to ensure accuracy and completeness.
- Assist with periodic reporting and year-end processes.
Required Skills & Qualifications:
- Experience in operations, or a similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Sage 50 accounts is advantageous.
- Ability to maintain professionalism and follow company policies and procedures.
- Capability to handle multiple tasks and assist with various operations as needed by management.
