Position: Bid Coordinator

Reporting to: Bid and Sales Programme Manager
Salary: £24,000 per annum
Location: UK-wide

The Bid Coordinator will be responsible for the administration associated with bid and sales processes, including the completion of PQQ, RFI, and basic ITT documents. In a consistently busy and deadline-driven environment, it is essential that the Bid Coordinator performs their duties accurately and efficiently, managing multiple deadlines simultaneously.

Main Duties

  • Collaboration: Work closely with the bid team, sales team, and operational colleagues to ensure clear oversight of all administrative tasks related to bid processes.
  • Mailbox Management: Administer and manage shared bid team mailboxes to ensure swift handling of all correspondence.
  • Bid Portal Management: Support the Bid and Sales Programme Manager with the ongoing management of all bid portal registrations, maintaining comprehensive records for continuous portal access.
  • Tender Administration: Act as the first point of review for tender advertisements and liaise with the Sales teams to gauge their interest in identified opportunities.
  • Activity Tracking: Assist the Bid and Sales Programme Manager in managing team activity trackers.
  • Governance: Introduce and implement necessary governance procedures and processes for Bid Team activities.
  • Digital Management: Maintain Bid Team SharePoint and Team sites to ensure effective management of tender processes, including setting up relevant channels for each bid opportunity.
  • Document Completion: Assist with and lead the completion of standard information documents at all stages of the bid lifecycle, including submissions.
  • Audit Support: Support audit activities to ensure compliance with internal audit standards and governance measures throughout the tender lifecycle.
  • Project Management: Provide project management support to develop technology platforms that enhance bid team workflows.
  • Compliance: Ensure adherence to internal audit and governance standards.

  • Bid Management Knowledge: Experience and/or understanding of bid management disciplines and procedures.
