Maternity Cover PA Role - Residential Research Team.

This is an exciting opportunity to join our Residential Research team as our PA on a Maternity cover basis which will commence from September 2024.

Role Overview :

This role is to provide PA support to the Directors within the B2B arm of the Residential Research team and general support to the wider team. The role works alongside the PA to Head of Residential Research and this is a 12 month FTC based in our Margaret Street HQ in central London. The role will commence in September 2024.

The Residential Research team provide research and consultancy on residential property to both internal and external clients. This involves using data analysis to help clients formulate strategy and make decisions. Our clients come from across the whole spectrum of UK residential property. They include some of the largest developers, investors and housing associations in the country, as well as national and local government. The team also write market leading research publications which provide our clients with market intelligence and insightful analysis. They often feature in national newspapers, such as the Financial Times, The Times and The Telegraph.

Team Overview :

The Residential Research Team includes 31 members from Analyst to Director level. The team is split to cover both B2B and B2C. The B2B team's work primarily focuses on providing research and consultancy on residential property to both internal and external clients. Our external clients include national government, house builders, developers, housing associations, charities, and investors. B2C is Business to consumer and has a focus on Prime real estate publications and supporting the Estate Agency side of Savills.

Key Responsibilities :

PA duties:

  • Support the Directors with complex diary management.
  • Oversee the department accounts (with support from the team), managing billings, issuing invoices (internal and external), creation of PO numbers.
  • Coordinate team meetings and minute taking when required.
  • Booking both domestic and international travel.
  • Management of contacts and instructions on our CRM database
  • Marketing Coordination
  • Project management of the production of research output including; reports, web articles, blogs and press releases.
  • Liaise with stakeholders, marketing, designers, PR and researchers, to ensure appropriate resourcing and on-time delivery.
  • Event management: liaising with key stakeholders and marketing in the lead up to webinars/seminars/report launches, ensuring the correct audiences are targeted.
  • E Campaigns: Coordinating with the digital marketing and social media team to distribute the research report to key clients/website upload.
  • Proof reading of research and marketing content

Wider team responsibilities:

  • Organising client and staff entertainment for the Research department alongside the other PAs within the team.
  • HR support (recruitment, scheduling appraisals, managing and monitoring team holiday, sickness, etc).
  • Ensuring CVs, Case Studies and Team Sheets are kept up-to-data.
  • Handling telephone calls, taking messages and covering phones

Key Skills :

The ideal candidate should be able to demonstrate skills and experience that show they are comfortable with working in a fast paced environment, dealing with large teams and working across a number of departments in the business.

  • The candidate must be very organised with excellent attention to detail.
  • Ability to take initiative and build a rapport with the team, internal and external clients.
  • They will be a self-motivated and proactive individual, able to demonstrate reliability and flexibility where necessary.
  • A good team player with a positive attitude, willing to get stuck in
  • Interest in marketing
  • 2 years' experience in a similar role
  • Strong IT skills and Intermediate/Advanced Microsoft Office skills (incl. Outlook, PowerPoint & Excel)
  • Experience with travel bookings (trains/flights/hotels/taxis) preferred
  • Self-starter, who relishes challenges and strives for the best
  • Excellent organisational and co-ordination skills
  • Excellent verbal and written communication skills. Strong proof reading and attention to detail skills.
  • Excellent time management skills
  • Ability to multitask and to work accurately and effectively under pressure
  • Must understand the principles and practice of client care
  • Strong team player: builds relationships and consults with others, quickly establishes trust and credibility.
  • Reliable and able to handle confidential matters and be discreet at all times
