Customer Care Administrator

Seeking a Commercial Support Specialist to ensure flexibility and business continuity within our commercial function. This role is pivotal in supporting both the Proposals and Execution functions, managing and compiling quotations and tenders, and overseeing the order process through to completion. The ideal candidate will provide technical knowledge, advice, and support to a global client base, demonstrating a professional approach throughout the sales process.

Day to Day of the role:

Proposals Function:

  • Manage and compile quotations and tenders from initial client contact to purchase order contract review.
  • Coordinate negotiation activities and prepare detailed contractual reviews and PO handover packages for execution.
  • Register incoming RFQs, assess commercial and technical requirements, and liaise with procurement and production for pricing and capacity.
  • Maintain professionalism in customer communications and resolve scope or supply queries with support from relevant departments.
  • Self-manage assigned quotations, ensuring timely responses and adherence to company guidelines.

Execution Function:

  • Control the order process, holding weekly project/order review meetings to ensure alignment with the project plan.
  • Provide status reports, monitor lead times, and keep customers informed of order status.
  • Liaise with dispatch to ensure prompt and correct dispatch of orders.
  • Enter sales orders onto the system and monitor order status, identifying slippages and implementing recovery plans.
  • Maintain good housekeeping of the work area and liaise with internal departments to resolve customer order related issues.

Required Skills & Qualifications:

  • Ability to understand technical drawings, data sheets, and specification documents.
  • Confident and effective communicator, both written and oral, with professionalism at all levels.
  • Quick ownership of customer requirements, decision-making, and problem-solving skills.
  • Team player with excellent organizational and time-management skills.
  • Attention to detail and proficiency with figures and calculations.
  • Competent user of Microsoft Office packages; SAP experience is an asset.
  • Knowledge of a foreign language is beneficial due to the international customer base.
